Terms of Service

1. Agreement

These Terms of Service ("Terms") govern your use of the Chief of Staff platform ("Service") operated by HKO Engineering OÜ, a company registered in Estonia (registry code 16587065) ("we", "us", "our"). By creating an account or using the Service, you agree to these Terms.

2. Service Description

Chief of Staff is an AI-powered productivity platform for business executives. The Service connects to your communication channels (email, calendar, messaging), classifies incoming items by priority, drafts responses, and presents a unified inbox of prepared actions.

The Service uses artificial intelligence to generate classifications, summaries, and draft responses. AI-generated content may contain errors. You are responsible for reviewing all content before it is sent on your behalf. No message is ever sent automatically — every outbound action requires your explicit approval.

3. Account and Eligibility

You must be at least 18 years old and have the authority to bind the organization on whose behalf you use the Service. You are responsible for maintaining the security of your account credentials and for all activity under your account.

4. Channel Connections and Data Access

To provide the Service, we request access to your communication channels via OAuth or API tokens. You grant us permission to:

  • Read incoming messages, emails, and calendar events for classification
  • Send messages on your behalf only when you explicitly approve an action
  • Store message metadata and AI-generated summaries

You can revoke channel access at any time from your account settings or directly from the third-party provider (Google, Slack, etc.). Revoking access will stop the Service from processing new items from that channel.

5. Subscriptions and Billing

The Service is offered as a monthly subscription. Prices are listed on our pricing page. During the beta period, access may be provided free of charge.

Subscriptions renew automatically each month. You may cancel at any time from your account settings or by contacting us. Cancellation takes effect at the end of the current billing period. We do not offer partial refunds for unused time within a billing period.

We reserve the right to change pricing with 30 days' notice. Price changes do not apply retroactively to the current billing period.

6. Acceptable Use

You agree not to:

  • Use the Service for spam, harassment, or any unlawful purpose
  • Attempt to reverse-engineer, decompile, or extract the AI models or algorithms
  • Resell or redistribute access to the Service without our written consent
  • Circumvent rate limits, usage quotas, or security controls
  • Use the Service to process data you do not have the right to access

7. Intellectual Property

We own all rights to the Service, including its software, design, and AI models. You retain all rights to your data, including messages, contacts, and business information processed by the Service.

AI-generated drafts and summaries created by the Service for your use are yours. We do not claim ownership over content generated for you.

8. Limitation of Liability

The Service is provided "as is" without warranties of any kind. We are not liable for any damages arising from the use of the Service, including but not limited to:

  • Errors or inaccuracies in AI-generated content
  • Messages sent based on your approval of AI-drafted content
  • Loss of data due to third-party service outages
  • Temporary unavailability of the Service

Our total liability to you for any claims arising from these Terms or the Service is limited to the amount you paid us in the 12 months preceding the claim.

9. Termination

You may close your account at any time. We may suspend or terminate your account if you violate these Terms. Upon termination, we will delete your data within 30 days, unless required by law to retain it.

10. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes via email or in-app notification at least 14 days before they take effect. Continued use of the Service after changes take effect constitutes acceptance of the updated Terms.

11. Governing Law

These Terms are governed by the laws of the Republic of Estonia. Any disputes shall be resolved in the courts of Tallinn, Estonia.
